Southpaw intelligent digital asset management and process orchestration solutions are built on our unified, open-source TACTIC platform combined with proprietary Southpaw products and customized service delivery. Southpaw solutions deliver end-to-end information and workflow visibility with digital tracking, automated communications, centralized visibility, and auditability.

TACTIC is a  smart application providing digital asset management to functions to ingest, manage, track and organize any type of digital asset. Digital assets can be any kind of document or file – text, graphics, images, video or even a digital representation of a physical asset such as a bar code or employee number.

The product provides an intuitive web UI to select and manage digital assets with simple drag and drop actions, including managing collections and approval of assets for business & application use. TACTIC also provides mobile web UI that is fully customizable to deliver DAM and workflow functions to all types of mobile devices. 

TACTIC provides watch folders to enable ingestion of assets from Secure File Transfer (SFTP) and other methods. We provide predefined integrations to M365 apps (email, AD, SharePoint) and Salesforce. REST APIs are used extensively to enable new integrations. 

TACTIC provides a workflow engine that pushes any type of job forward within defined processes, with automation of approvals as required.

TACTIC provides a rich toolset to build orchestrated workflows and asset management functions for any (all) business applications.

Workflows

TACTIC workflows are used to define process flow.  These custom workflows can be applied at any level and can be associated with different projects types.  Any number of workflows can be created and organized into folders in the TACTIC workflow manager.

Each node in the custom workflow will either perform an automated task or it will create a manual task for which a user will need to interact with.  When a task is assigned and set to a "pending" status, the assigned user will automatically be notified by both email and notification in the TACTIC interface.

Each process node has the ability to have either an internal review or ask for assistance from a supervisor.  More formal reviews can also be built into the workflow.

Users can see a list of their assigned tasks.  There is also a list of unassigned tasks for which users are able to assign themselves for environments where assignment is more ad hoc.

Build the workflow - specific workflows that describe the process flow are built out.  Workflows determine how the process and information flow of a job.  This provides not only a visual representation of the various processes that are required to complete a job, the workflow engine will make use of this definition to branch into different streams using decision conditional process nodes and execute automate processes or interact with external 3rd party services.

TACTIC supports conditional decision trees and multiple workflow hierarchies.  Any number of workflows can be managed using the TACTIC workflow manager.  Pre-built process nodes provide instant access to a wealth of functionality and external services.  Custom process nodes can be created to embed any other functionality within the workflow engine.

TACTIC workflow manager can manage any number of workflows.  Folder structures can be made to create and manage a large number of workflows.  The organization of the workflows are up to the user making them easy to find without getting cluttered.

Workflows are used to define all the processes and their relationships that are required to complete a job.  The workflow manager is used to create the process flow diagram.  Nodes connected together represent relationships between them.

The workflow manager can also be used to define the behavior of each node.  For task nodes, the interface to display to the user can be defined here as well as the user group that will own the task and other parameters. 



Project Manager

Schedule workflows for each job – When a new job is created, a workflow is associated with that job and tasks are automatically created.  At this point, it is possible for the project manager to go and loot at the automatically generated schedule.  Tweaks to the schedule can be made at this point.

The project manager view is used as an overview for each job.  From here the overall schedule can be managed.

Tasks view 

Users can look at the list of tasks assigned to them - With customized views for each task, users will have all the information they need at hand and know exactly what they must do to complete each task.  The workflow can define interfaces for each of the manual tasks.  A manual task user involvement is required. 

Users will be notified whenever a task that is assigned to them is set to a pending state.  Users will use the task view to see a list of tasks that require their attention.  They will also receive notifications when changes are made by email.  The email will contain a convenient link which will take them directly to the task in question.
